Email is the #1 productivity killer for most professionals. McKinsey found that professionals spend 28% of their workweek managing email. AI can cut that in half.
AI Email Triage
Use AI to sort your emails by priority:
"Here are the subject lines and senders of my unread emails: [LIST]. Categorize each as: 1) Urgent — needs response today, 2) Important — needs response this week, 3) FYI — read when available, 4) Archive — no action needed. Flag any that look like spam or can be auto-responded to."
Drafting Responses Faster
For each email that needs a response, use AI:
- Quick response — "Draft a short, professional reply to this email: [PASTE]. Confirm the meeting/acknowledge the request/answer the question."
- Difficult response — "This email is [COMPLAINT/REQUEST/NEGOTIATION]. Draft a response that is [FIRM BUT POLITE/EMPATHETIC/PROFESSIONAL]. Key points to address: [LIST]."
- Follow-up — "I sent this email [DAYS] ago and haven't heard back. Draft a polite follow-up that references the original request without being pushy."
Email Templates
Create templates for your most common emails:
"Based on my email patterns, I frequently: respond to [TYPE A], follow up on [TYPE B], introduce [TYPE C]. Create 5 email templates I can customize for each type. Include placeholder tags [NAME], [DATE], [PROJECT] etc."
